What this document is

An offer letter is the first formal document a candidate receives after clearing interviews. It states the role, compensation, joining date, and reporting structure, and usually includes an acceptance block the candidate signs and returns. A clear offer letter reduces back-and-forth during the notice period and sets expectations before day one.

Who uses it

HR teams, founders making their first hires, staffing and recruitment agencies, and campus-placement cells that issue dozens of offers after a hiring drive.

When to send it

Send it after verbal acceptance and before background verification concludes. For batch hiring — campus placements, seasonal staffing — generate the whole set from your candidate tracker in one run.

How to run a job offer letter batch

  1. 1Generate offers only after verbal acceptance. An offer sitting in a candidate's inbox before the conversation has happened is difficult to withdraw gracefully.
  2. 2Drive compensation from your approved hiring sheet rather than typing it per candidate. A mistyped annual figure in an offer is the most expensive error in this workflow.
  3. 3State the joining date and reporting manager explicitly. Both are required fields precisely because their absence generates a week of email.
  4. 4Preview one letter per role type before generating the batch — roles differ in wording far more than they differ in structure.
  5. 5Keep the generated set alongside the source sheet, so the terms in any letter can be traced back to what was approved.

Common mistakes to avoid

  • Copy-pasting a previous candidate's letter and missing a name or amount — per-row validation catches empty required fields before anything is generated.
  • Ambiguous compensation wording. State the annual figure explicitly; the template formats amounts with Indian digit grouping.
  • Sending offers without a joining date or reporting manager; both are required fields in this template.

Fields worth a second look

compensation_items
A list of components — base, allowances, variable pay — rendered as a table. State each explicitly; a single lump figure is what turns into a dispute at joining.
start_date
Candidates serve notice against this date, so a placeholder has real consequences for both sides.
reporting_manager
Required. Its absence is the most common reason a candidate comes back with questions before accepting.

Privacy

The preview above and all local batches run entirely in your browser — names, amounts, and other values are never uploaded. Cloud batches are explicit, isolated per workspace, protected by short-lived signed links, and deleted at the end of a visible retention window (or earlier, on your request).

For this document specifically: An offer letter contains a named individual's compensation before they have joined. Restrict access to the hiring panel and HR, and keep generated batches off drives the wider team can browse.

Template-specific check: Contains personal and compensation data. Confirm employment terms with an HR or legal professional for the applicable jurisdiction.

Whether an offer letter is binding, and what it must contain, depends on its wording and your jurisdiction. Have HR or a legal advisor confirm the terms before issuing offers at scale.

DocForge produces the document. It does not provide legal, tax or HR advice, and nothing here has been reviewed against the rules of any particular jurisdiction.
