What this document is
A payslip records what an employee earned, what was withheld, and what actually reached their bank account. This one itemizes earnings and deductions as separate tables, prints the net figure in words as well as digits, and expects PAN and bank-account numbers to arrive already masked so a payslip forwarded to a landlord or a lender does not leak full identifiers.
Who uses it
Payroll and HR teams, small businesses running payroll on a spreadsheet, and accountants issuing payslips on behalf of client companies.
When to send it
Generate once payroll is frozen for the month — after loss-of-pay days are final and before salary credit, so the slip and the bank transfer agree.
How to run a salary slip batch
- 1Freeze payroll for the month first. Loss-of-pay days, mid-month joiners and any arrears must be settled in your payroll sheet before you generate — a payslip that disagrees with the bank transfer creates more work than it saves.
- 2Mask PAN and bank account numbers in the export itself. The template renders exactly what the column contains, and a payslip is routinely forwarded to landlords and lenders.
- 3Put each earning and deduction component in its own row of the earnings and deductions columns. Gross, total deductions and net pay are computed from those rows, so a component pasted into the wrong place silently changes the total.
- 4Check one payslip against your payroll register before generating the batch — ideally an employee with loss-of-pay days, because that is where arithmetic disagreements surface first.
- 5Generate the month, then keep the source export. It is the only record of how each figure was derived.
Common mistakes to avoid
- Overriding a total by hand. Gross, total deductions, and net pay are computed from the earning and deduction rows, so a manual figure silently contradicts the itemized table printed above it.
- Supplying full PAN and account numbers. The template renders exactly what the column contains, so masking has to happen in the payroll export, not afterwards.
- Leaving the amount-in-words column stale after correcting a figure — it is a separate field, and a corrected net pay carrying last month's words is the most common payslip defect.
Fields worth a second look
- earnings_items
- A list of components, not a total. Gross earnings is their sum, computed by the engine.
- net_pay_words
- A separate column, not derived from net pay. Correcting a figure without correcting the words is the most common defect in this document.
- pan_masked
- Expects an already-masked value such as AAAPP****K. Nothing here masks it for you.
- lop_days
- Printed for the employee's reference only — it does not change the arithmetic, so your payroll sheet must already have applied it.
Privacy
The preview above and all local batches run entirely in your browser — names, amounts, and other values are never uploaded. Cloud batches are explicit, isolated per workspace, protected by short-lived signed links, and deleted at the end of a visible retention window (or earlier, on your request).
For this document specifically: A payslip carries salary, bank and tax identifiers for a named individual. Generate locally where you can, mask identifiers before the data reaches the template, and avoid emailing unprotected copies.
Template-specific check: Contains salary and identity data. Mask PAN and account numbers in the source export, and confirm statutory deductions with your payroll advisor.
Legal limitations
Payslip content and retention are regulated in most jurisdictions, and the required components differ by country and state. Confirm the statutory minimum with your payroll advisor — this template renders what you supply and asserts nothing about compliance.
DocForge produces the document. It does not provide legal, tax or HR advice, and nothing here has been reviewed against the rules of any particular jurisdiction.
